Unique Event, Challenging Cancellation Charges

Challenge: Meetings & Incentives was tasked with planning a unique theater event in New York City, including a dinner reception and post-party reception. Unfortunately, the client had to cancel the event less than a week out from execution.
Solution: Meetings & Incentives used its extensive network of partners, including vendors, DMC, and hotels to find unique space close to Lincoln Center. As part of the planning, process, multiple site visits and menu tastings at various venues were arranged, and pricing to fit within a prudent budget was negotiated. When the event canceled, Meetings & Incentives worked with their partners to refund a significant non-refundable deposit.
Result: Even though it was far below the original cancellation amount, M&I negotiated with vendors to pay only the cost of the food and beverage already ordered, and worked with partners to refund almost 50% of non-refundable monies to the client.
